Quick guide for users, managers, and admins.

User guide

  1. Open Clock and log in.
  2. Choose the assigned company/project.
  3. Choose Office, Remote, or Holiday.
  4. Start a session when work begins.
  5. End the session when work stops.
  6. Multiple sessions per day are allowed, but only one active session should be open at a time.

Holiday: non-billable, but it still counts toward the user’s 39h weekly allowance.

Manager guide

  1. Use Approvals to review weekly timesheets.
  2. Check that users have no open sessions before submission/approval.
  3. Review gross, break, net, billable, holiday, and cap excess hours.
  4. Approved weeks should only be reopened if a correction is genuinely needed.

Note: manager-level screens are prepared for workflow use, but admin still controls setup and corrections.

Admin setup

  1. Create users in Admin → Users.
  2. Create companies in Admin → Companies.
  3. Create projects under each company in Admin → Projects.
  4. Assign users to projects in Admin → Assignments.
  5. Use Sessions to review or void incorrect sessions.

Rates explained

  • Project bill rate: default client charge rate for the project.
  • Assignment pay rate: what you pay that worker.
  • Assignment bill rate: optional override for what you charge the client for that worker on that project.
  • If assignment bill rate is blank, the project bill rate is used.

Billing and CSV exports

  • Billing uses billable minutes only.
  • Daily break is removed after daily work exceeds 08h00.
  • Weekly billable/payable cap is 39h00 per user across all companies/projects.
  • Invoice CSV exports one line per company/project/week.
  • Holiday, break, and cap excess are separated from billable time.

Boston Sci office/remote ratio

For users assigned to Boston Sci / Engineering Consulting, the Clock dashboard shows the current-quarter Office vs Remote section.

Target is 60% Office / 40% Remote, matching 3 office days and 2 remote days.
